Background Check


The UNCG community is committed to providing a safe and secure environment for its students, faculty, staff, and visitors, and to protecting its funds, property, and other assets. The ability to provide this security is facilitated, in part, by well-informed hiring decisions. Our background check screening process contributes to these decisions by performing and assessing criminal background checks for persons selected for initial employment with the University, as well as current employees who change jobs or otherwise become subject to background checks. Offers of employment and, under certain circumstances, offers of volunteer opportunities, will be contingent upon checks of background information that will remain confidential to the extent provided by law, and continued employment with UNCG may depend upon timely and accurate reporting of post-hire felony criminal convictions.

The Background Check Process

As part of our onboarding initiative and in accordance with university Policy on Background Checks, UNCG has implemented a new and efficient system for this HR function to be simplified and more convenient, not only for the employees, but for our customers as well. Departments will have the following three options available to begin the background check process.


Important: Individuals may not begin employment or volunteer until a successful background check has been completed


HIRING THROUGH SPARTAN TALENT (eHIRE)

When the recruitment and selection process has been conducted in SpartanTalent, the hiring department will advance the finalist’s application to ‘Recommend for Hire’ as a precursor to begin a Hiring Proposal. As a result, SpartanTalent will send an email notification to the HR Onboarding Specialist to initiate an eVite for the selected applicant to complete a background check. Through the HireRight system, which is integrated with SpartanTalent, the HR Onboarding Specialist will send an eVite to the selected applicant. The applicant will receive instructions and a link to access the HireRight System. The applicant will have three (3) days to provide the required information and sign the required disclosure and release forms for the background check screening. Once the background check screening process is complete, HireRight will notify Human Resources. The hiring department will receive an email from Human Resources to confirm the status of the background check results. If the background check includes adverse results, then Human Resources will consult with the supervisor of the hiring department. This process will require no additional steps from the hiring department.

HIRING OUTSIDE OF SPARTAN TALENT (eHIRE)

This is a limited process used when an employee/volunteer is hired or rehired outside of the SpartanTalent (eHire) system, no Hiring Proposal is created, and the new hire has an established email address. The hiring department will need to complete the Departmental Request for Background Authorization Online Form to generate a request to Human Resource for a background check. This form will automatically be sent to the Onboarding Specialist in Human Resources. Once this form is received, the HR Onboarding Specialist will send an eVite to the applicant. The applicant will receive instructions and a link to access the HireRight System. The applicant will have three (3) days to provide the required information and sign the required disclosure and release forms for the background check screening. Once the background check screening process is complete, HireRight will notify Human Resources. The hiring department will receive an email from Human Resources to confirm the status of the background check results. If the background check includes adverse results, then Human Resources will consult with the supervisor of the hiring department. This process will require no additional steps from the hiring department.

COMPLETING A BACKGROUND CHECK WITHOUT AN EMAIL ADDRESS

We understand that everyone does not have an email address or access to technology. In these circumstances, the hiring department will still need to complete the Departmental Request for Background Authorization Online Form to generate a request for a background check. In the field ‘Employee Email’ the department must indicate “No email address available”. Human Resources will contact the individual to discuss next steps to complete the background check process manually. The applicant will be provided with instructions and the required disclosure and release forms. The applicant will have three (3) days to provide the required information and sign the necessary disclosure(s) to complete the background check screening process. Once the background check is complete, the hiring department will receive an email from Human Resources to confirm the status of the background check results. If the background check includes adverse results, the Human Resources will consult with the supervisor of the hiring department. This process will require no additional steps from the hiring department.

Background Check Forms
